cross compliance and flock register

Got a call from the dept to say I'm having a cross compliance inspection, they arrived when I wasn't here and had a look around, and measured the yard , now they have asked me to get sheep in to check tags against flock register , can any one tell me how many years back they they go in the flock register or any other advice. Thanks

They can go back 5 years I was told. Lad I know had an inspection and they went back 3 in his case. Don't forget to check you have your census info filled in also.

we had 1 last year, thought I had the register fairly well done but he still found a few issues any how it didn't cause any penalties ,

a lot depends on the inspector, if you have making an effort he will allow some lee way

records of fallen sheep disposal and knackery dockets

If they read a four year old ewe they'll have to find her in the register,
same with prescriptions they'll want to see those and where they were used.
It's probably similar to QA, Make sure you haven't any antibiotic bottles around

Hope you have electronic tags in at least half the flock of breeding ewes.

He never mentioned anything about prescriptions but I have them, said he has forms for me to fill out regarding sprays, meal and fertilizer purchased

Sounds a reasonable inspector, you're supposed to have records of sprays, meal and fertilizer purchased

afaik you have 14 days to return the forms , he didn't ask any thing about remedies or dosing

I suppose that's where the bord bia comes in handy. You'll have records reasonably up to date anyway from your last bord bia audit.

he will read 40 to 60 sheep as a sample and then check are they in the register and check dispatch dockets are they in the book and notified to the movements for sales and purchase(is the pink docket sent back for home sales)need to have census filled in the book, it helps to have the sheep penned that they are easy to read and pick the ewes that are correctly tagged and in the book.

No mention of remedies or dosing , yes I have 14 days to return the sprays meals and fertilizer records , it's easy to get records of purchases from the merchants

Jesus lads all this is scaring me.
Recently took over the farm.
The herd register is grand but I opened the flock register yesterday and twas practically empty. Only one movement entered 3 years ago.
No mention of tag numbers or even number of ewes in the flock.
Where do I start with rectifying this?

I wouldn't panic. Just piece together the information the best you can, and keep things right going forward. Fingers crossed you won't get a inspection for years. If you did, a lot of inspectors can be reasonable people. Think about Joining bord bia means you will be audited every 1 1/2 years. That way you'd have paperwork will be right and up to date, so if the department ever showed up you'd be well used to being audited and used to answering questions in relation to the paperwork.

Not every inspector looks for everything. The lad who inspected me never looked for meal, fert. or spray dockets, nor even looked at the yards, sheds, watercourses etc.Just interested in the sheep, their tags, and the register.

did you not get a new flock register in your own name? I was in the same boat, i reckon the man before me was allergic to ink!

started a new register, recorded everything in it . Had an inspection a year later and everything was grand. Be a bad egg to try and hold you accountable for someone else's poor bookwork!

don't spend too long worrying about it.

IMO get a new register and get all existing flock tag numbers into it and update going forward

I got my sheep book last week , do I have to fill in the tag numbers of the sheep I bought or just if I sell them on again ?

do you mean flock register ? just fill in the number of the dispatch document you received with the sheep

when selling you fill out your own dispatch document with the tag numbers. and keep a copy...
likewise record the dispatch document number in the flock register a long with date etc

I was in the same boat. I had an inspection about 3 months after i took over. I didn't have a flock register in my name and the existing one was empty.

I printed of a few excel sheets and filled in anything i could since i took over to show i was making an effort.
Said i didn't know where the old one was and that it was none of my business .. he rang back a few times asking for it but got the same answer from me. - I can't say he was nice about it.

I said it was their fault for not sending me a register when i took over as i had asked for one - which was true.

They came back a month later to check it was in order which it was.

no home kill allowed you have to go to a registered premises,where would you hang the carcase and how would you kill it.thats why there is no code in the book for home kill,

Make sure you have all the sales and dispatch dockets in check... so sales and tags match.. most importantly make sure all lambs that were sold had no antibiotics in there system and passed there withdrawal date... otherwise you may do a bit of doctoring... we had an inspection 3 weeks ago

No code in the book for lost sheep too but it does happen.

I record the medicine in the bird Bia book, and a notebook I have - but is there somewhere else for the dept I should have it? Some official medicine book I should be using?
