Irish Airsoft Association AGM request

    Members, your attention please,

    The IAA is planning to hold an Annual General Meeting (AGM) at some point between the last week of November and the middle of December. At this meeting a complete run down of what we are doing, planning, the legals, the ins, the outs and the hootenanny will be discussed. It will be open to all members of the IAA who join before that date and to a number of non-members by invitation.

    ***********There is, as always a snag!***********

    We have no venue at which to host the meeting. At present we have no cash flow and due to the fact that many of the IAA members live in far flung places like Galway and Cork we are hoping to find some where central in Ireland to run it.

    Anyone got any ideas for a cheap and easy to get to place that would be willing to let us have a room for a day? We need to get this moving very quickly so all suggestions will be followed up on.

    One place off the top of my head.

    Teacher's Club in Dublin 1 (just beside the Garden of Remembrance)
    good prices, many different sized rooms.

    If you guys could bring a few application forms. (i've no printer atm), and really want to sign up. Thanks.

    Teachers club is a good idea, it's a nice place and easy to get to.

    aahh guys, how it that "central" to anybody outside Dublin? I'm based in South Tipperary, and I'm sure there are more members as well who do not reside in Dublin, or for that fact can get to Dublin...

    So will there be minutes taken or some such means where any members unable to attend can view the proceedings at a later stage?

    upstream? at least 512k (normally found on 3mb+ packages), the higher the better though

    broadband access isnt an absolute necessity, but it'd be nice to have

    Trust me, the places we could get that would have access are out of our league. Dublin is too expensive and we arent having any luck in the country.

    Surely, out of all of our members and well wishers we can find something or even get a room donated?

    Why not podcast the meeting instead of streaming? Listeners wont be able to give feedback in real-time anyway (making a point to note the fundamental difference between streaming and conferencing)

    Lemming: what i meant was a one-way stream that members could view remotely, but there would be no way for them to give feedback

    I won't be able to make the meeting if it's to be held in Dublin, and I'm sure many others are in the same boat.

    Would an IRC channel be feasible? I've been involved with meetings over IRC in the past that worked out pretty well. It does take some discipline on everyone's part though. (Just a suggestion).

    IRC is a good idea, but two inherent problems: not everyone knows how to use it, and secondly, it would take far too long to get anything done, too many voices able to speak at once

    i think lemming has a point there. I have used a tool called webex a good while back, they offer a 14 day trial for free at the moment....

    now what we would do is do the first one entirely on the web...suits us people living out in the sticks but requires a lot of basic manners...thats the only catch

    there is a ton of these products on the market, not perfect or near it...but it is free

    You really have to do these things face to face. If a location is chosen near trinity (and it would want to be feicing close) I've access to their wireless network*. In fact I'll look into getting a room in there but it's unlikely given this would be an outside organisation.


    * I don't really see what it is you want to do with the internet.

    I know its a bit chilly these days but you could(i say could) have it in someones backgarden if its big enough or have it in someones house if a room can facilitate it.
    Im saying a backgarden because many people have bigger back gardens then any rooms in their houses

    Unfortunately there is no way to gauge exact numbers until we have a venue simply because most people wont know if they can make it on the date or to the location. We cant even set a date until we know we have a venue

    hmmmm.... that trinity idea got me thinking, given that Crave is chair of the only college airsoft society in Ireland (in IT Carlow) what about getting a room there? I know there is someone in dit looking to start an airsoft society there also, they could get a room there too if the society gets up and running in the next few weeks

    Guys can we not just get a Function Room?
    I've used these in the past to host meetings and just record them for non attendees. I don't think we should worry about the internet connection / webcast for now and just get a place and a date set to hold the AGM.

    Sorry guys but those who cannot attend can't vote anyways.
    But if we get a basic net connection and setup a forum for them to post their ideas & points for the meeting.

    Was talking to hive about this yesterday, I may be able to get us a free room. Its in Wicklow just off the N11 (15-20 minute drive from town depending on traffic) There are busses that run close to the venue (both Dublin Bus and CIE) so it shouldn't be too hard to get to from most parts of the country. I'll be checking later this evening to see if we can get it and I'll let you know then.

    Ok so i might be able to get the room cheap if its not booked already.
    Cheap last time meant for free and we paid only for the platters and drink.

    However i need to know the day. If its not a Fri/Sat night then im sure it can be extremely cheap. So Hive what day & time would suit in a normal week?
    Sat morning? Wed evening?

    I have a laptop, webcam, mobile broadband and Video projector so that's no problem.

    Is it worth taking a poll or a member of the committee telling us where most of the members are? If 80% of us live in Dublin then it doesn't make sense to look outside the city being realistic does it?

    Just my 2c.

    It's going to be in Dublin. Apologies to those who live in the other provinces but necessity nd logistics are taking precedence over catering to as many people as we can - its nothing personal its simply the constraints of time and budget.

    We are waiting to hear back on one or two locations before making a decision on where to hold the AGM. At which point the announcement will be made.

    The webcast idea probably wont work, however we hope to record and podcast the event. It will be several hours of recording so we will need to look at the logisitcs of that.

    OK lads you are over complicating things with all this talk of streaming etc. Book somewhere central. I am no issues stumping up cash and I am sure the majority who post here won't either.

    Pick a date and a venue and those that can make it will. If my schedule allows I will attend.

    If you need the occassion filmed I can do that, external hard drive cam so no worries about time.

    It might seem better to film then to podcast as access might be easier
    I agree with the €5 idea, 5 quid wont break the bank
