    Hi - just looking for advice. I'm working newly in a public service and had to over night at 4 hours away for meetings (from 9am day 1 til 5pm day 2). I'm confused with the online forms to submit. Can I claim overnight 24 hour rate (for hotel), kilometers (for travel) and any subsistence for dinner & lunch?? First time having to do this so want to make sure I do it correctly. Thanks.

    You can claim an overnight (€195) and a 5 hour subsistence (€17.92) going on the times you provided as you were away for more than 29 hours. There is generally an 100 kilometre distance requirement for an overnight. This can be reduced to 50 kilometres if there is an operational need. You should be able to claim travel also provided you used your own vehicle.

    Great, thank you. Yeh I used my car and it was over 500km round trip. I just wasn't sure about the 5/10 hour subsistence. I'll look at the forms again tomorrow. I appreciate your response.

    The rates have increased on the above in 2025 just to be aware.

    Also,if you 'had to leave the night before ' the first day of course/ meeting you might be able to claim 2 overnights instead of 1 overnight and a day rate. Some people claim the overnight if they live a long distance away from where they're going to work even if they left really early the next morning rather than the night before.

    Thanks for that. I did read that the rates had increased but the new rates aren't showing up on our system so far.

    Just to note, if you were provided with a lunch or dinner, this should be deducted from the claim.

    If the employer arranged for and booked the accommodation, is this taken from the overnight rate?

    If the employer paid for the overnight accommodation including any breakfast lunch and/or dinner, they should all be deducted from the overall claim.

    In such instances you may just be entitled to a 5hr depending on when you left home. The system should deduct the correct amounts although I like working the claim out manually on paper first, just to ensure accuracy.

    If accommodation was provided and paid for, you wouldn't be claiming an overnight rate to cover accommodation but if meals weren't provided and just accommodation, you might claim for them. The other thing to mention is that if your accommodation and meals cost more than the CS rates, you just get the rates unless your employer pays out additional on vouched expenses. In my experience, different PS and CS can have quite different policies. Some places are still on a paper-based submission of travel and sub claims so the finance department is entering your claim rather than you entering yourself on the system.
