Travel and Subsistence Rates Query

    Hi guys,

    I'm a bit confused on travel and subsistence rates for overnight stays. Do they only apply if the employee paid a specific cost e.g paid for their own hotel?

    Basically the company I work for gives us an extra bit of money when they ask us to travel to work and stay overnight in a hotel for an event. It's usually over the other side of the country. I'm just wondering is that taxable income?

    They pay for food, train and the hotel so because I don't incur anything I'm guessing the Civil Service rates don't apply?

    If you didn't incur the expense then you can't claim/be paid anything additional tax free at all. If the company is paying you additional money for this work, then this should be taxed as normal by the company.

    How is it paid, daily rate or vouched expenses? I know in my previous job we were paid a daily rate based on the country/city we traveled to regardless of how much you spent so if you didn’t go mad eating in expensive restaurants for lunch and dinner you could easily make a few hundred euro tax free on a trip (if the trip was a few days).

    For example a dinner rate could be 60 euro so if you ate in McDonald’s for a 10er you made 50 euro tax free.

    Daily rate is an approved way of paying expenses though as is totally above board. If you are making extra on a vouched system you need to be more careful.
