Emails being flagged as spam

    Hi,

    Hopefully this is the right thread for this particular query - apologies if not.

    In work, we have noticed that a significant percentage of our emails are being directed into the recipients spam folders and we can't figure out why.

    We used to have Facebook/Twitter links in our email sigs but, removed them in case the recipient server was flagging mails because of this. We have also checked to see if we are blacklisted as a spammy domain (we aren't).

    Currently our email sigs just contain a link to our website and LinkedIn profiles. Is there anything more we could try to avoid so many (all legitimate and above board) emails being sent to the bottomless pit of the spam folder, never to be replied to?

    Does a blank email with no signature details at all get flagged as spam? What is the client marking it as spam (Outlook app, Hotmail, Gmail)?

    We aren't sure to be honest - it's hard to monitor which ones go in or don't or which one are replied to after someone fishes them out of spam. A lot of the intended recipients are large companies/MNCs so, I would presume Outlook. We could always ask for details the next time it happens.

    Definitely going to need a copy of a spam flagged mail / client info and a few diagnostic mails sent with timestamps recorded to try and pinpoint issues. E.g below:

    12.00PM - Email / no sig
    12:10PM - Email / has sig
    12:20PM - Email / no sig + attachment ZIP
    12:30PM - Email / has sig sent + attachment ZIP

    Op are you actually spamming people? Is there a way to unsubscribe? Your recipients may have clicked the "mark as spam" button.

    Not spamming at all. These are long time clients of ours who we would have corresponded with before so, that's why we find it so odd!

    Do you have your own mail server?

    Use a smarthost for now until you figure it out. Hotmail are funny about spam, they put your server in the spam list until you send enough emails to be seen as safe.

    Perhaps you have an open relay or an account had been hacked and is sending spam?
