MS Outlook - How to download ALL e-mails

    Hi All,

    I have Outlook on my work Laptop and sometimes I'm too lazy to power it up and work from it because it's upstairs so I have opted to use Outlook on my personal laptop using my work e-mail address.

    All fine, all set up and e-mails are coming in fine but I want ALL my e-mails to be downloaded from the Server and if possible also all the folders as well. I have rules set up so that e-mails from X go into a folder for X.

    Can these be downloaded as well.

    Who provides your email account? What version of Outlook do you have?

    Company e-mail address so our own Server POP/SMTP

    Actually sorry thats something else.

    Is it an exchange server? Exchange generally would do what you ask by default, I dont think POP systems can though

    I have always had enough problems with e-mail because I receive them everywhere.

    Work Laptop
    Blackberry(so exchange)
    Samsung Tablet
    Now Personal Laptop

    I want the older mails downloaded as well so that if for example I was sending an e-mail and wanted to attach an item(like old e-mail to prove I had done task X) then I could but at present I can see the last time I logged into the account(year ago) and the past 2 days of e-mails.

    I want them all.

    I would have thought that if they still existed on your server they would be downloaded. Maybe the dont exist on the server any more? If thats the case you will need to export or something from wherever they are archived to.

    If its a POP server i think it even deletes the email as you download it to a client.

    It sure does. Just found that out by powering up the work laptop and noticing that the e-mails I was reading and replying to didn't download to the work Laptop. They will always arrive into the Blackberry and Tablet though but won't land on two versions of outlook(same 2007 but on different laptops).

    I opted then to delete the account from my personal laptop and grow a pair of legs to walk to the office from now on. :rolleyes:

    IIRC you can stop outlook from deleting the file from the server but this would create its own issues.

    In your outlook account settings, advanced settings, untick the option to delete the files after 14 days to keep all emails and never delete them from a POP server.
    You can enable the option to delete the emails once they have been deleted completely from outlook (trash emptied)
    Rules can be only set locally from POP servers either on the server (online) or on your machine. Settings and folders are not downloaded from the server and only mails that arrice into the inbox will be downloaded if there are rules set on the server side mail client (online).
