If your Outlook 2007 mailbox is always full it might be your calendar

    If (like me) your mailbox keeps getting full really quickly, even though you are constantly moving items into archive folders, then there may be one more thing you can do to reduce the size of your outlook folders – target your Calendar items.

    In Outlook 2007…

    To see if your Calendar is getting too large:

    - Click on Tools > Mailbox cleanup

    - Click on the button “View Mailbox Size”
    o If your mailbox is very large, then perhaps the approach below is suitable for you

    To identify calendar items that are too large so you can action them:
    - To find the large items in your calendar:
    o Click on Tools > Mailbox Cleanup

    o Click on the “Find” button
    o In the new window that pops up, make sure you choose
     Look for: Appointments and Meetings
    o Click on the “Find Now” button

    o Once you have some results displaying, you need to add the “Size” column into the results view so that you can sort the results by size to see the large items
    o On the top menu select “View > Current View > Customize Current View”
     In the popup that displays, select the following:
    • Select available fields from “All Mail Fields”
    • Add Size to the box “Show these fields in this order”
     Click “OK”

    - On the screen that now displays you can sort the results by Size, and isolate the Calendar items that are taking up the most space
    o You can delete these or move them to an off-line folder
