Hopefully this sets you on the right track

(English based but similar aspects apply)

Tbh I am pretty shocked that no one mentioned this sooner as looking at other aspects of the race it seems like you have done many things right especially the fact that the AAI wouldnt mention it to you during the permit process.

Best of luck with the race hope the link helps

Allow me to be the first to quote 'I wouldn't have started from here'. These things are usually put together many months ahead of the actual event.

I presume that you are using public roads and intend inviting entries from the public?

Your best (and I suggest only) bet is to do this under the aegis of an AAI-registered club. They will be able to deliver both the expertise and the all-important public liability insurance. Even so, your timescale is tight.

I could start making a list of requirements (risk assessment, course measurement, marketing, stewarding, entry processing, timing.....) but I'm not going to. I just couldn't deliver a decent event in a matter of weeks.

You could of course wing it and hope for the best but I doubt anyone here would recommend you do so.

EDIT - crossed with ecoli's post - you are apparently further advanced than I assumed so feel free to ignore.

Had a look at the race. It looks like road closures secured, permit got, First Aid sorted, timing sorted online entry up and running, advertising and other aspects. Normally I would agree with you regarding all these aspects but to be fair this actually looks like a decently organised race, I think its just the case of this one oversight regarding paperwork which seems a bit strange considering there are some very experiences organisations/companies involved in terms of sponsorship etc
