Setting up a Social Club...

Hi folks. I'm at the very early stages of setting up a social club in work. There are about 150 employees in the place and I've got some very positive feedback from certain people.

The thing is I know little or nothing about how to go about setting it up, who to put on the committee etc.

Have any of you experience of this sort of thing..?

Get permission from management to take the monthly/weekly contribution from people's wages. A euro a week would be more than enough, depending on what you are going to use it for, €2 a month per person would probably do it.

Go round and get permission (sign a form) from people agreeing to have the money taken from their wage packet. If you don't get at least 50% on board, forget it. If you get about half, as the club becomes established, you will find it easier to get the rest.

From the people who have agreed, ask for volunteers to be on the committee. You might need to call a very brief meeting or send round a circular asking people to vote on the committee. Keep it to about 5 max.

With the committee members, open a bank/Credit Union account and establish who can sign for withdrawals (2 people).

Talk to the office/wages to find a way of notifying you when people are sick long term-ish (you have to work that out, do they have to be in hospital, off for more than 2 weeks or what). Also work out a way of notifying the committee of weddings, babies, bereavements etc. Remember that there will be people in the social club who are not in the wedding/babies business, can you balance that out at all, do you want to?

Decide how much you spend, what, as a general rule you buy. Set up an account with a flower shop nearby so all you have to do is phone.

You need to decide all this so that people don't say 'well I'm in the social club but I didn't get any flowers when I was off with a broken leg, or that person got a bigger bunch than me' and so on.

Make out accounts every year, but don't list names, just account for the money.

    Good luck!

Thank you so much for that info. It's really helpful...:)

The idea about the account with a florist is genius! I think we'll need to up the subs to €3 a week as people in other parts of the organisation outside Dublin have monthly draws with cash as prizes. Hence the need for a higher sub...
