Ok this has killed me and the other organisers I've worked with in the past with all money (bar a couple of pub quizzes) coming out of our own pockets.

With the event I'm working on at the moment I see a lot of potential for sponsorship but not sure what I'd need to do? Approaching people/companies isn't a problem for me but what needs to be in place before they'll hand over the cash?

I don't know. I am trying to get business sponsorship too. It's not easy at the moment. I suppose they need to see a venue is booked and that the event is definitely going ahead. What do you think?

I was on a work placement before and shown a sponsorship proposal (unfortunately it's been a few years). What they are looking for is a return on investment - what are you charging them vrs how many people will be present, is there a media presence, will their brand be in good locations (and how many), etc.

It is difficult to track sales vs marketing (sponsorship) so they need to ensure that YOU are showcasing their brand in the best and biggest possible way. It can all come down to the little things.

Example - look at soccer - you'll see a close up of the kick-off, a regular ritual that everyone knows...Why? Because the ball is sponsored.

Your photos of the event even need to capture brands if possible so that when people flick through 'Social Pages' in weekly newspapers, they see 'The XYZ event' and a brand.

A simpler question regarding funding and sponsorship.

What's the best way to get in contact with a company looking for sponsorship? Would I be looking for headquarters and ring a reception number? That doesn't seem like the best method to me but I guess if you don't have a contact already then it's the best way to go?

Or would I be better off sending a paper proposal? Again without someone to contact then it doesn't seem like the best method.

I've been looking at the website and I can find upper echelon executives but it's a small proposal I'm looking (~€1000) and I would assume that VP of PR (or similar) wouldn't be interested in something that small.

One thing I found when looking for sponsorship is that they want to make sure they are dealing with an organisation that's all legal and officially setup. They still want all the ROI stuff but if you aren't a legal entity then they will (generally) be reluctant to deal with you..

Would size be taken into account?

I understand that companies would want to be an official, legal organisation but I'm "representing" a small group where it doesn't seem viable to set up as a legal organisation.

However we do have regular events and a website where we could push a company/product so I'm thinking we might be able to get something.

    Also ROI?

It will be very, very hard to get any funding with this kind of 'cold call' approach. You really need some kind of introduction or contact or network connection.

    Return On Investment

Basically trying to ensure that the €1,000 they give you wouldn't be better spent somewhere else.
