Managing Satellite Offices

    Hi

    I have just been given responsibility for our European satellite offices and I am in a position where I don’t know where to start.

    It is essential that regular communication is maintained but also that I am there to support the employees and management team even though I am based in a different office. I also need to ensure that procedures, policies etc are followed – again can be quite difficult when I am in a different office. I will be travelling to the sites but not as regularly as needed due to budget constraints.

    Can anyone give any advice on how they have approached this situation or even better if they have been in the situation where the head office was else where and what they would like to have seen happening. I am open to anything – even considering new ideas like blogging etc.

    You haven't mentioned what your company does, which might make a difference.

    If your IT policies aren't too restrictive, then tools like Skype and Google Talk are very helpful. Free calls and Instant Messaging facilities. Failing that, you might be able to set up your own internal instant messaging server so people can't connect to external services. We have a remote office, and regularly use IM to communicate.

    Web-based collaboration software will probably help a lot - look at the likes of Microsoft Sharepoint to easily share documents and add various modules. When I was looking at last a couple of years ago, it was very easy to add in things like forum, gallery, wiki modules.

    what is the employee make up of the offices. It may be possible to deligate some of the more mundane tasks to a local employee in each office. Tasks such as policy and proceedure compliance (health and safety..etc).

    Other than that use the tools available, such as skype, microsoft live meeting etc to maintain regular and consistent communication. Also its worth mapping out your visits to each of the offices. Its obviously necessary that you physically visit each office at some point, so agree in advance the budget and timetable and make sure you visits are know to each each office in advance to allow them to prepare for any issues or meetings. (unless of course the objective it to do surprise visits)
