MS outlook - reusing a training schedule

    I'm looking for a bit of tech support and I'm not sure I can explain what I need but I'll give it a go.

    Say I have a standard training plan for an event (say 17 weeks for IM). Obviously it will change from event to event but let's assume there is a basic starting template. e.g. Monday 6 am - long run, Monday 1pm - speed swim - Monday 6pm - recovery bike..... Now I have all the info on the sessions from a previous race and I want to move them to new dates for my next event. Is there an easier way to do this than cut-n-paste each individual session? Some sort of a MS file I can create that will auto fill from a given starting date?

    i'd say you could write a marco that could do that, but time time it would take me(as i'm crap0 to do it, id prob do it manually quicker.

    Hi HM, If you have MS project, and put you schedule in to that. Then you can highlight (select) every line and edit the "task information" to change the start date. then the whole thing should move.

    Very easily done. Keep it simple and use excel. Input all your data and have the dates referencing the previous date, so if your existing program had a starting date of 12/02/08, input this (into cell a1 for example) and simply for the next date input (in cell a2 for example) reference this as "A1+1", do for all other dates beneath this. This will return 13/02/08. You can do +7 if you want by week etc. Then you can change your original starting date to whatever date you want and the following dates will all change accordingly.

    I use excel for my training programs, send onto me if you wish and I'll have a look.

    This is exactly what i do in excel. I have it set up so i just put in the race date and it will backwards calculate the previous 18 weeks etc... works great...

    Thanks guys but I need it in outlook as I want it to integrate with the rest of my (and other people's) calendars.

    Ok you could try to export your calendar to excel, (you can pick a specific date range). Then edit it in Excel to you new dates and then import it again. i can test this later and see if it works .
    You should only need to change the StartDat, EndDate fields.

    first time you do it it might take time as you will need to remove other mettings and stuff you had during that time period, but you should be left with a file that you can reuse..

    Tested and works :)

    Potentially could be done with iCal, which is nothing to do with Apple. It is some way of sharing calendar appointments between different calendar applications so it will possibly allow you to do what is needed.

    Not done anything with the format myself so far...

    Try this (won't break anything) :).....

    Select all the events you want to move (one week at a time may be easier). Copy them all and then paste them to the new start date. This seemed to work in my outlook (for one item). Don't accidently copy event that other people have.

    I use Polar Pro Trainer and its easier to do there as I can export my training plan and then reimport. (not that you care)

    Hi HM, dunno if you've found a solution to this yet, but I may have another workaround option for you...

    I have code for setting multiple Calendar items in one go, but it does require that they're all listed in Excel. Basically it's a simple Excel spreadsheet with column headers for Subject, Location, Start Date/Time, Duration etc with code that when run will automatically put it into Outlook. This will require some manual work to set up, but once it's done once it should be easy to manage (eg basing the dates on the start date +1, +3 etc.) for future events and training schedules.

    I missed this first time out - one of the things I do for a living is integrate MS applications - for example getting databases to send e-mails or Excel to assign Outlook tasks.

    It should be pretty easy to rattle together some code that takes a schedule created in XL and create a specific calendar item for each row. If you're stuck with it give me a yell and I'll sort it out.

    I won't even charge :D
