Mileage Expenses

As a self employed what mileage expenses can I claim or is this only for companies? Would I use the civil service rates? Also can you allow yourself a daily subsistance rate as in the civil service rates? Sorry for all the questions. Thanks.

You can use rates or just claim for the cost. I normally include the petrol cost under my travel costs as per my accountant's instructions.

Careful even as a self employed if you are going from home to the same customer's site everyday it does not work.

If you are going to different customer's sites/town that's ok. Still you have to justify why, when.

The civil service rates usually only apply to employees and to company directors. Sole traders can only claim back what it actually cost they (e.g. petrol, insurance etc.) Usually there is an apportionment of these costs as between business and personal.

The 2009 rates involved a 25% reduction from the previous year and are the most up to date as at today. They can be found in circular 7 of 2009

In order to calculate mileage expenses, an employee would be expected to keep a record (and keep for 6 years) showing for each business journey:

a) the date of the journey;
b) the reason for the journey;
c) the mileage;
d) details of starting point and finishing point;
e) the basis for reimbursement.

All of these items can be calculated without reference to the vehicle mileage clock by using websites such as www.mapmiles.com or google maps.

The mapmiles website also gives the current civil service rates.
