    Dear Club Secretary,
    Cycling Ireland is delighted to announce that Club Affiliation, Membership Registration and Licence Renewal for 2013 opens tomorrow, 13th November 2012!

    2012 has been a hugely successful year for us all, on many fronts, and indeed challenging as well, particularly due to the rapid growth in Membership. We welcomed 4,000 additional members, including 9,500 new members to our organisation which now stands at more than 15,500.

    Cycling Ireland is constantly working in the background to improve the services offered and in particular to make it easier and more convenient for your members to Register/renew their licences. For 2013, we have introduced the following range of features and improvements;

    1. On-line Registration/Renewal:

    In 2013 we have a major focus on encouraging and assisting our members to register/renew their licence On-line. Last year, 1/3rd of our members renewed on-line, with significant assistance from yourselves. This means that at least 2 out of every 3 members renewed their licence manually! The office processed these 10,000+ applications manually which understandably lead to long delays and indeed some inevitable errors in issuing licences. This year we are looking to achieve an online renewal rate of 75% i.e. 3 in every 4 members! This is a very challenging target but it is the only way the organisation can cope with the growth in membership without adding extra resources at Kelly Roche House. Over the past 6 months, we have developed a number of enhancements and we have tested the system extensively, eliminated many bugs, particularly the problems with logging-in and incorrect e-mail address/passwords which caused much frustration to the users and diminished the perceived usefulness and relevance of the system to our members.

    2. Incentives for Members and Clubs:

    This year we are providing incentives for members to register/renew on-line and for clubs to actively encourage on-line registration.

    All members who register/renew online will be entered into a free draw, 1st prize of €1,000 along with a number of other prizes. ii) Clubs who achieve the best on-line registration/renewal targets (above a minimum) will receive grants for achieving a high level of on-line registration/renewal.

    The attached presentation gives, among other information, more details about how this scheme will work. It is envisaged that the winning clubs will be confirmed by the level of response received from a specific e-mail to all their members who register on-line!

    We will issue a further communication about the operational details of this club incentive scheme later in the week .

    3. My Profile:

    When members log in, they see an area called “My Profile”. Here they can update their personal and contact details. It is vitally important that members do so and ensure that their details are correct, particularly their postal address and personal e-mail address as this will be the address that will appear on their Licence card. CI

    4. Approval Process:

    The club approval process will continue as before with the option to Accept or Reject. You will receive an auto generated e-mail requesting you to approve members licences application. However, you will have 72 hours to do so otherwise they will be approved automatically.

    5. Auto e-mails:
    Throughout the registration/renewal process, members will receive confirmation e-mails letting them know how their licence is progressing including a receipt for payment on-line which will act as a temporary licence, pending receipt of the physical card.


    6. Paying On-line:
    We are sensitive to the fact that not all members have credit cards so we will be accepting all major Debit Cards as well. This year we are introducing the concept of paying on-line using only your bank account via Paypal which is a globally accepted and highly secure method of paying on-line. Unfortunately we can no longer accept cheques or cash when registering/renewing on-line.

    7. Where’s my licence:
    Once a member registers/renews, the “My Profile” page will display the Status of their licence application and indicate the next step to be taken. Please encourage your members to refer to this page rather than e-mailing/phoning Kelly Roche House as this will be, by far, the quickest way to get an answer. See “Where’s my Licence?” slide also on the attached file.

    8. Distribution of licences:
    All licences will be posted directly to the individual member in a specially designed wallet using the address on their “My Profile” page. It is vitally important that members check that this is correct. Clubs will be given the option of receiving the licences in bulk for onward distribution but you must opt into this facility. Please e-mail info@cyclingIreland.ie if you want to opt for the Delivery in Bulk method (include this wording in the subject line).

    9. Help Videos:
    The staff in the Kelly Roche House have developed very useful Help Videos to guide you and the members through the registration /renewal process. These can be accessed through our website or by clicking here.

    10. Communication with the Office
    All the above steps have been put in place to make the application process as user friendly and as trouble free as possible for the members. The FAQ’s, Help Videos and Status updates are designed to answer 95% of the queries that traditionally come to Kelly Roche House either by phone/email or in person. As you can imagine it is not possible for two members of staff to answer all licence queries from 15,000+ members and still address all the other support services provided. Thus, we encourage you to communicate with your club members directly to assist them in on-line registration and potentially earn a significant grant in the process!

    I think what it means is that there are now 4000 members more than last year to give 15500 of which 9500 are first time members.In other words loads of last years members are not retained.Hope this makes sense.

    Actually I think it means that the overall increase in membership was 4,000 (ie from 11,500 last year), but 5,500 who were members in 2011 did not renew (a lot of them on the introductory deal I believe). So there were 9.500 new members in 2012 (although I'm sure a lot of them would have been members at some time in the past, prior to 2011)

    Think of the economics of this - a €5 reduction (probably the minimum that would attract people's attention), would cost €77,500 if everyone renewed online (and over €25,000 if only those who renewed online last time did the same this year)

    A €1,000 prize will cost €1,000 (OK plus a bit more for the other prizes);)

    EDIT - also the biggest "hassle" is dealing with the €10 introductory fees with the admin eating into the amounts raised at a disproportionate level - a reduction in online fees is not going to impact much on the numbers availing of this, but a possible €1,000 prize may encourage a lot more to sign up online

    Fees are set on an annual basis at the AGM each year so a reduction/alteration is impossible now anyway.TBH at the current rates its a no brainer that all current leisure cyclists should take out membership.introductary e15 and renewal e25.The federation actually dont make a cent on these licences when the insurance,process cost,etc are all factored in.I love to save a few bob myself but I think to ask for a reduction at these rates would be a non runner.

    Exact same for me. When I click on renewal year 2013 no rates show up and the above errors follow afterward. Maybe not yet open?

    D'ya know what Beasty! I've too much time on my hands these days. I didn't join CI until July 2012 after purchasing my first lickle racer so don't know why I'm trying to re-register on the day it opens when their is so much time until it needs renewal for 2013 :pac:

    When I go to take out an A4 licence it asks me to choose the UCI Category from either 'Elite' or 'Masters'. Elite A4 sounds like an oxymoron...and A4 master doesn't make a whole lot of sense either. Anyone know what this is all about? What's the correct answer? Google shows up nada.

    If 35 or over you can put down "Master" if not you're stuck with Elite;)

    Thanks for that. Looks like I'm a master then! The choice has no bearing on the validity of the licence for entering domestic events?

    None whatsoever - it's your age that determines whether you can enter vets championships (40+), but you can enter nationals or open races when you're a vet anyway (don't think you can enter both nationals and vets for the same discipline though)

    MoranA (or anybody else that knows the answer).

    I will probably change clubs next year due.
    I haven't joined the 'new' club yet as that clubs membership night is not for a couple of weeks.

    I am aware that I need to apply to my current club for a release - do I do that now, or do a wait until I join my new club.

    Also, do I wait on renewing my CI license until after I get release/join the new club.

    Any help appreciated.

    You don't need to sign up until 31 December (to ensure Insurance continuity), or perhaps a few weeks before that if you wish to upgrade. Your new club will need to sign off with CI, so I would suggest you wait until you have signed up with them, but in the meantime maybe mention it to your current club to hopefully facilitate a smooth transition

    Have to disagree, in part. Significant savings will be made in labour if the back end processing is also automated with that all those names and addresses already in the compooter - once target percentage pay on line then remove the discount and move to internet only payment. Its a pretty standard business model and the quicker you cross the chasm into internet only payment, the bigger the saving.

    Prizes...meh, sure I'll never win, where me chequebook:rolleyes:

    We had members transfer from other clubs. Once you have joined the new club, you initiate the transfer through the C.I. website. The secretary at the old club will get notified by email and they have to click something or other to release you. The secretary at the new club will then get notified by email and they must click something else to confirm your status.

    @Beasty you get a month of a grace period for insurance purposes so that would bring you up to the end of Jan rather than Dec 31

    @Rok I would get the letter of release now and send it in to the lads

    That's the whole point - they want to make the savings (which are very significant), and the prize is an incentive to do that. They are encouraging as many as possible to do it this year, with the intention of making it "compulsory" (probably with a small number of exceptions) next year. This was all explained at the AGM;)

    I was too embarassed to show up with the 001 on my back. May as well paint a target in your back.

    Holding off renewing in the hope I'll get a non descript number, to match my fitness level....

    Hi Morana well done you seem to be doing a great job for the cycling community. However what interest me is your statement following my crithism of C.I and Dublin Cycling campaign and Government body re Grand and Royal Canal towpaths. I was delighted with your response that you would take this issue up with Waterways Ireland and other stakeholders.
    Just wondering Morana did you make any positive progress.

    Quick question re: licensing as I couldn't see an answer on the CI site (cue numerous links being posted...)

    If I sign up for a basic intro license do I then get a discount if I upgrade to a Competition license if I decide I want to try racing or again if I decide to get a Full Competition license because I really enjoying racing? Or is it even possible to upgrade?

    So my club approved my licence today, and CI then approved it. Signed in, paid via Paypal (though Paypal has no record of payment sent), but was sent back to the CI site, not logged in.

    Logged in, and my licence is back to pending approval from my club! morana, is there tech support I can email?

    Joined my local club in Swords as a newbie, paid for the basic €15 licence and it's proceeded as far as Step 6 (Payment received: Licence number generated). Does anyone know when I can expect the physical licence to arrive through the letterbox. This'll sound daft, but I'm looking forward to it. :o
