I have a question regarding mileage rates. My understanding that civil service mileage rates cover the use of a private car for official business. I also understood that the rate covered petrol, tax, insurance and wear and tear on your car.

The University that I work for now say that the rate paid for mileage also covers Toll charges! Has anyone else come across this ?

No idea about tolls but I get about 40-50c/km ish when driving on business. It does add up. The tolls end up being claimed as a business expense/tax deduction anyway if incurred as part of driving for work though, don't they? Or are you trying to claim toll charges back from your employer and they are saying your mileage rate has to cover them?

I work for a private company and get 50c / km plus tolls and parking. Barely covers my fuel but that's my own fault! :o

My understanding is the civil service rate does indeed include any tolls.

I suppose it's at the discretion of the employer.
I get civil service rates for my mileage but can also claim for tolls.

A quick google reveals that tolls and parking are not a running cost incurred so aren't actually included in the civil service rates. However as the civil service rates are the maximum rates possible any private employer who actually pays mileage at those rates may reckon they are more than sufficient, unless you're incurring lots of parking charges and tolls while carrying out your duties.

    Nearly there!

The civil service rates are the maximum that an employer can pay without the mileage payments becoming liable to income tax. They can pay higher if they want, but it doesn't really make financial sense for anyone involved (other than Revenue ;) )

Whether tolls are covered or not is really down to your employers policies. They can choose to reimburse or not reimburse whatever they want.

If your employer does not reimburse your tolls, then you may be eligible to claim tax relief (at your marginal tax rate) on any tolls you pay yourself. You can only do this is the tolls are deemed to be an allowable business expense. Tolls allowable in this sense are only those that have been incurred by you undertaking a journey to somewhere other than your normal place of work, and the purpose of that journey was solely to perform the duties of your job.
You can claim the tax relief in the form of a tax refund at the end of the tax year by submitting form 11e provided that you have all of the documentation to support your claim
